Managing members of a space
Change roles, approve join requests and remove members from a Rhazes space, and what happens to their chats when they lose access.
Updated
Where it all lives
Manage members on the space page, open to owners and admins. It holds the current members, the invitations you have sent, and any pending requests to join.
Changing someone's role
Change a member between viewer, moderator and admin at any time. It takes effect immediately.
The owner is the exception. Their role cannot be changed by anyone, and the owner role cannot be handed to somebody else. See Rhazes space roles and permissions.
Approving join requests
Pending requests show who is asking and any message they sent. Approve and they join as a viewer; reject and they do not.
Removing someone
Removing a member takes effect at once, and it is worth knowing exactly what it does to them:
- They lose access to the space and its documents immediately.
- Chats they had linked to the space are unlinked, not deleted. Their conversations survive intact. They simply stop drawing on documents they can no longer see.
- Workflows of theirs pointing at the space documents lose that source. The workflows keep working, minus that step's material.
- Their pending invitations and join requests for this space are cleared, so a stale invitation cannot let them back in.
Nothing they contributed to the space leaves with them. Documents they uploaded stay, because they belong to the space rather than to the person who added them.
What you cannot do
You cannot remove the owner, and you cannot remove yourself this way. To leave a space you are a member of, use Leave space. See Leaving or deleting a space.
A note on shared spaces in practice
The failure mode with a departmental space is not people misusing it. It is a space with one admin who moves jobs and takes the only maintained copy of the guidelines with them.
Give at least two people admin, and check the member list occasionally against who is actually still in the department.
