Organising documents into folders

Organise the files inside a Rhazes reference document into folders, so colleagues find the guideline they need instead of scrolling a flat list.

Updated

The file tree

Open a reference document and you get a tree of its files. You can add folders, put files in them, nest folders inside folders, rename anything and delete anything.

Organise by how you look things up

The instinct is to organise by where the file came from: a folder per publisher, a folder per year. It is tidy, and nobody ever finds anything in it.

Organise by the question instead. A clinician standing in front of a patient is thinking "antibiotics", "anticoagulation", "referral criteria", not "documents received in March". Folders named after the decision they support get used.

It helps you more than it helps Rhazes

Worth being clear about this. Rhazes finds material by searching it, not by walking your folder structure, so a well organised space and a badly organised one both answer questions.

Folders are for the humans. They are what makes a shared space usable by a colleague who uploaded none of it, and they are how you notice that the 2019 version is still sitting there next to the 2024 one.

Who can reorganise

Adding folders, renaming and editing needs moderator or above. Deleting files and documents is restricted to owners and admins, because deletion in a shared space takes the document away from everyone at once.
