Adding documents to a space
Upload clinical guidelines, policies and formularies into a Rhazes space, how documents are grouped and indexed, and what makes them findable.

Adding one
Open the space and add a reference document. You give it:
- A name. Letters, numbers and spaces, up to 100 characters.
- A description. Up to 500 characters, optional but worth writing.
- The files themselves.
A reference document is a folder, not a file
This is the part people get wrong on the first try. A reference document holds many files. "NICE cardiology" is one reference document containing however many PDFs you have; you do not create one per PDF.
Group them the way you would group a shelf: by the body of material they belong to, by who publishes them, or by the specialty they serve. A reference document per file gives you a long flat list and no organisation at all.
What you can upload
PDFs and images, up to 40MB per file. A guideline PDF of a few hundred pages is well within that.
Uploads count against the allowance on your plan, so a very large library is worth building in the order you actually need it rather than all at once.
What happens after you upload
Rhazes reads each file and indexes it so it can be searched, and pulls out the key terms that describe what the file covers. This takes a little while, and a long document takes longer. The status updates on the page as it goes, so you do not need to reload to find out where it got to.
A document that has not finished processing cannot be searched yet. It is visible, but a chat or workflow pointed at it will find nothing in it.
Name your files as if someone has to find them
This matters more than it looks. When you ask a question, Rhazes does not read everything on the shelf. It first narrows to the files most likely to hold the answer, using their names and the key terms it extracted from them, and then searches inside those.
So Sepsis-pathway-adults-v4.pdf is a genuinely better document than the identical file called Document1.pdf. The second one gives that first step nothing to work with.
Who can add documents
Owners, admins and moderators. Viewers can read and use everything in the space but cannot add to it. See Rhazes space roles and permissions.
